The African Institute for Mathematical Sciences (AIMS) Research and Innovation Centre in Kigali, Rwanda, is seeking a motivated and professional individual for the position of Reception Intern. Each year, AIMS centres train approximately 60 African students per master's program, preparing them for leadership roles in academia, government, and industry.
POSITION OVERVIEW
- Position: Reception Intern - AIMS Research and Innovation Centre
- Location: Kigali, Rwanda
- Contract Type: Full-Time, One-Year Contract

- Reporting To: Manager, Operations and Financial Reporting
KEY RESPONSIBILITIES
The Reception Intern will serve as a key ambassador of the AIMS brand, responsible for:
Front Desk & Guest Relations
- Greet and welcome guests, students, researchers, staff, and visitors professionally
- Serve as the first point of contact for all visitors
- Coordinate guest check-in and check-out processes
Communication Management
- Answer and direct phone calls professionally
- Handle company inquiries promptly
- Communicate AIMS values to all stakeholders
- Maintain professional correspondence
Administrative Support
- Sort and distribute incoming mail
- Complete forms, requisitions, and administrative documents
- Prepare photocopies and printouts
- Maintain organized filing systems
Scheduling & Coordination
- Schedule meetings and appointments
- Manage board meeting bookings
- Maintain up-to-date reservation calendar
- Coordinate transportation requests for staff, students, and researchers
Data Management
- Produce and maintain spreadsheets
- Manage booking systems and calendars
- Track and update reservation information
Facility Management
- Ensure reception area is tidy and presentable
- Support the preparation of meetings and special events
REQUIRED QUALIFICATIONS
Educational Requirements
- Diploma or University degree in Communication/Administration/Hospitality Management/Law
Essential Skills
Technical Skills:
- Strong proficiency with Microsoft Office Suite (especially Excel)
- Competent with internet applications (Skype, Google Meet, Gmail)
Language Requirements:
- Competent in English or French (both languages would be an advantage)
